Privacy Policy

The short version

Valen Wellness keeps only what you type into our forms, simple page counts that use no cookies, and counts of Book clicks that carry no names, emails or IP addresses. We do not sell your information. Please do not send us medical information.

Who we are

Valen Wellness Aloha LLC (“Valen Wellness”, “we”, “us”) runs this website and the Valen Wellness center in Aloha, Oregon. We license private treatment rooms to licensed, independent providers. Each provider is a separate business. When you book with a provider, you deal with that provider and their booking app, and their own privacy policy applies to what you share with them. Valen Wellness also runs one service of its own, the laser hair removal studio.

What you give us through our forms

Our website has these forms: contact, waitlist, room application, newsletter, careers and provider onboarding. Each one stores your name, your email, your phone number if you choose to add it, and what you type. Some forms ask for more because of what they are for:

• Waitlist: the services you want to hear about.
• Room application: your business name, license type and number, services, the days and start date you want, your website or social page, and whether you carry insurance.
• Careers: your license details and the resume you upload.
• Provider onboarding: the business details a provider gives for their profile, and the photos they upload.
• Newsletter: your email and your consent to receive it.

Every form says “Please do not include medical information.” No Valen form asks about health conditions, medications, pregnancy or allergies. If you add medical details anyway, we will not use them and we may delete them.

How we use it

• To answer your message or request.
• To email you once when a service you joined the waitlist for opens.
• To review room applications and job applications and reply to you.
• To build a draft profile for a provider who sends us onboarding details.
• To send the newsletter you signed up for.
• To send text messages about your request, only if you checked the text consent box.
• To keep the site working, stop spam and meet legal duties.

Who we share it with

We do not sell your information. We share it only in these cases:

• Our customer records tool. We may forward contact, waitlist, room application and newsletter entries to our customer relationship tool, GoHighLevel, so we can keep track of replies. We never forward anything from a page about a medical service.
• Companies that run the site for us, such as our web host and email delivery service, only as needed to do that work.
• Independent providers, only as counts. We show each provider how many people viewed their profile, clicked Book or joined a waitlist for their services. These reports do not include your name or contact details.
• When the law requires it, or to protect the safety of people at the center.
• If the business changes hands, the new owner would follow this policy for the information it receives.

When you book with an independent provider

When you tap Book for a provider, their own booking app opens, either in a window on our page or in a new tab. What you enter there, including payment details, goes to that provider and their booking company, not to Valen Wellness. Valen Wellness never takes payments for provider services. The link may carry a tag that tells the provider you came from our site.

We record each Book click: the provider, the service, the type of booking link, the page and the time. We do not record your name, email or IP address with it.

When you book the laser studio

The laser studio is run by Valen Wellness and takes bookings and payments through its own account with an outside booking service. That service handles your card details under its own terms. We see the appointment and payment details we need to run the studio. Card numbers are not stored on this website.

Analytics, cookies and outside services

• Page counts. We count page views with Koko Analytics, which runs on our own site and uses no cookies.
• Google Analytics. We do not use it today. If we turn it on later, it will run only after you agree in a consent banner, and never on pages about medical services.
• Ad pixels. We do not place advertising pixels on pages about medical services, medical provider pages, or pages that hold a medical booking window.
• Maps and booking windows. These come from other companies and load only when you click them. Once loaded, that company may collect information under its own policy.
• Spam checks. Cloudflare Turnstile may check that a visitor is a person and not a bot. To do that, your browser shares some technical details with Cloudflare.

Text messages and email

Text consent is its own unchecked box on our forms. You do not need to check it to book. If you do, we text you about your request only. Read the full text message terms.

Our newsletter follows the federal CAN-SPAM Act. Every newsletter has an unsubscribe link, and we honor it.

How long we keep it

Form entries on this website are deleted automatically 24 months after you send them. You can ask us to delete them sooner. Copies forwarded to our customer records tool are kept under that account and removed when you ask us to delete your information.

Your choices

• Ask us what information we hold about you, and ask us to correct or delete it.
• Unsubscribe from the newsletter with the link in any issue.
• Reply STOP to any text from us to stop texts.
• Leave the optional phone field blank and the text box unchecked.

For information you gave an independent provider, contact that provider directly.

Children

This website is not meant for children under 13, and we do not knowingly collect information from them. If you think a child has sent us information, tell us and we will delete it.

Keeping it safe

We use spam checks, encrypted connections and limited admin access to protect what you send us. No website is perfectly secure, so please share only what we ask for.

Changes and contact

If we change this policy, we will post the new version here with a new date. For any privacy question or request, use the contact form on our Visit page (/visit/).
